Packaging Automation Ltd (“Packaging Automation”, “we”, “us” and “our”) is a supplier of machinery for packaging food products. We are a limited company registered in England and Wales under company number 761199 and have our registered office at Unit 1, Montgomery Close, Parkgate Industrial Park, Knutsford, WA16 8XW.

The data we collect about you

Personal data, or personal information, means any information relating to an identifiable individual. It does not include any data or information which relates to a person that cannot be identified or where the person’s identity has been removed (i.e. anonymous data). Change of purpose

How do we keep your data safe and who has access to it?

We place great importance on the security of your personal information and will always try to take appropriate precautions to protect it.

We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorised 

way, altered or disclosed (including using encryption technology on our site and conducting regular security reviews on our network).

The transmission of information via the internet is not completely secure. We cannot guarantee the security of any data you send to us via email or via our site; any transmission is at your own risk so please take care before sending us any sensitive information in this way. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

 

In addition, the personal information you provide to us is only available to authorised personnel of our business who need access to the information in order to fulfil their duties. They will only process your personal information on our instructions and they shall be subject to a duty of confidentiality.

We have put in place procedures to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.

Once we no longer require your personal information, we will take reasonable steps to destroy it in a secure manner.

Who we share your personal data with

In particular, we do not allow our data processors to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions as set out in our data sharing agreements.

• Third parties to whom we may choose to sell, transfer or merge parts of our business or assets. Alternatively , we may seek to acquire other businesses or merge with them.

• If we are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce any agreements, or to protect the rights, property or safety of our business, our customers or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction, with HM Revenue & Customs, regulators and other authorities where we are required to do so by law.

• Professional advisers, including lawyers, bankers, auditors and insurers who provide consultancy, banking, legal, insurance and accountancy services.

In some instances where we share data with third parties, such as the HMRC, those third parties will also be controllers of your data. We shall not be responsible or liable for the way in which other data controllers hold or process your personal data. Changes to your data

We make every effort to ensure information collected is accurate and up-to-date. We encourage you to help us by telling us promptly if you change your contact details.

 

How long we keep your information for

We will only retain your personal information for as long as is necessary to fulfil the purposes we collected it for.

To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure of your personal data, the purposes for which we process your personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

In some circumstances we may anonymise your personal data (so that it can no longer be associated with you) in order to develop our business methods and strategy or for research or statistical purposes, in which case we may use this information indefinitely without further notice to you.

If we have a contractual relationship with your employer, we will retain your personal data for the duration of that relationship. Typically, we will minimise the personal data we hold about you so far as possible and only retain that information which cannot be deleted without compromising the purpose for which we collected the personal data or our other legal obligations.

In some circumstances we may be entitled to retain your data for a longer period where we are under a legal or regulatory obligation to do so, for example in the event of a legal dispute or to comply with HM Revenue & Custom requirements. We will also need to keep a record of your contact details if you have opted-out of receiving marketing communications from us to ensure we do not send these to you in future.

•     The right to request that we restrict our processing of your personal data in certain scenarios, for example if you want us to establish the accuracy of the data or you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it (note that when processing is restricted, we are allowed to retain sufficient information about you to ensure that the restriction is respected in future).

•     The right to request that we transfer your personal data to you or to another party (note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you).

•     The right to withdraw your consent where you have provided your consent to the collection, processing and transfer of your personal information for a specific purpose. Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose or purposes you originally agreed to, unless we have another legitimate basis for doing so in law. If you withdraw your consent, we may not be able to provide certain services to you.

We may also contact you to ask you for further information in relation to your request to speed up our response. However, we may charge a reasonable fee if your request is clearly unfounded, repetitive or excessive. Alternatively, we may refuse to comply with your request in these circumstances.

We try to meet the highest standards when collecting and using personal information. For this reason, we take any complaints we receive about this very seriously.
